Overview

The Creative and Digital Project Specialist will support the Creative and Digital team at VEIC. The Creative and Digital Project Specialist works with a team of Creative and Digital professionals to support the overall efficiency and scalability of the creative and digital production process. The Specialist will work to understand defined project scopes and requirements and will help to organize the details and workflow from project kick-off to delivery. The Specialist will provide day-to-day support to brand and creative and digital team members and will use project management tools and other digital workspaces to help prep, organize, and visualize project tasks, assignments, hand-offs, and timelines. The Specialist will report to the Sr. Manager, BD and Marketing Operations and will be an integral member of a dynamic and innovative team supporting a large portfolio of requests across multiple brands and clients.

 

Location:

This is a remote or Hybrid position, and the ideal candidate will be located in the states where VEIC conducts business: CA, CT, DC, DE, HI, IL, MA, MD, ME, MI, MT, NJ, NY, PA, OH, RI, VA, VT, AND WI. Please note that while we welcome applicants from many areas, we do not currently hire in the following parts of New York: Manhattan, Brooklyn, Bronx, Queens, and Staten Island. Compensation:

At VEIC, we are committed to pay transparency. The starting pay range for this position will be between $32.31 /hour - $34.36 /hour. Based on market data, pay may vary depending on job-related knowledge, skills, education, experience, and location. Please discuss your intended work location with the recruiter for more information. The total compensation package for this position also includes a full range of medical benefits, 403(b) eligibility with match, Combined Time Off (CTO), Care and Concern leave, Parental leave, wellbeing benefit, a community service day, and eight paid holidays that are effective as of your first day of employment.

Responsibilities

  • Collaborate with brand, Creative & Digital team members to understand project scopes and requirements and support the Creative & Digital Project Manager with planning efforts to ensure smooth execution by internal teams or third-party vendors.
  • Clarify project prioritization, key deliverables, project requirements, success factors, and desired timing prior to the start of work.
  • Work with creative and digital team members to maintain and update current resource assignments and facilitate project hand-offs to support team efficiency and productivity. Proactively assist with the identification of resource constraints and the reprioritization of work. Elevate foreseeable resource constraints and solutions to creative and digital team managers.
  • Use a variety of project management tools to help facilitate the work as outlined by the Creative and Digital Project Manager. Build-out project tasks and schedule resource assignments. Maintain project management software to provide stakeholders with transparency of status within the workflow process.
  • Coordinate and schedule reviews of assets and deliverables and with a focus on maintaining and hold project teams accountable to timelines. Identify dependencies and impacts of delays. Document stakeholder approvals, achievement of key milestones, and schedule progression.
  • Support the maintenance, evolution, and user-adoption of project management tools and processes and to help ensure the brand and creative and digital team members remain aligned and informed of expectations.  
  • Work with the brand teams and creative and digital teams to deliver work that is excellent, on time, and on budget.
  • Work with the Sr. Manager, BD and Marketing Operations and the Creative and Digital Project Manager to plan and implement new workflows or optimization efforts approved for rollout.
  • Other duties as assigned.

Qualifications

  • Strong personal commitment to the mission, vision, goals and values of VEIC.
  • Bachelor’s degree and a minimum of three years of marketing, advertising, brand management, or project management experience or a combination of education and experience from which comparable knowledge and skills are acquired.
  • Demonstrated ability in working/collaborating within a team and supporting the needs of internal clients, designers, web developers, and vendors.
  • Demonstrated experience managing marketing production processes, and collaborating with copywriters, designers, web developers, and other creative resources.
  • Understanding of design and web development processes.
  • Proven time management, organizational and problem-solving skills; the ability to juggle and meet multiple deadlines at once.
  • The ability to troubleshoot challenges as they arise with a problem-solving, positive mindset.
  • Strong written and verbal communication skills with experience in collaborating with project stakeholders and cross-functional teams.
  • Previous experience working within a communications or digital-focused agency. Previous experience preferred, but not required.
  • Computer skills including proficiency with project management software, spreadsheets, and MS Office. Knowledge of Photoshop, InDesign, Illustrator, and web content management systems.
