Overview

The Proposal Coordinator will work closely with proposal teams and VEIC’s Proposal Group to coordinate RFX-related requests, ensuring accurate tracking of requirements, deadlines and milestones. The Proposal Coordinator serves as a liaison between departments within VEIC and follows standard operating procedures.  

 

Proposal work is often fast-paced and involves short deadlines. The Proposal Coordinator employs an understanding of VEIC, its business strategies and the marketplace to direct proposal development teams which include internal and external partners. This position coordinates the and formatting of documents according to client-directed or VEIC standards. The Proposal Coordinator works quickly and efficiently to direct team members, set and meet deadlines, and obtain necessary internal approvals in a timely fashion prior to submission.  

 

The Proposal Coordinator has excellent communication and project management skills, pays attention to detail, and is able to multi-task in a fast-paced team environment. The Proposal Coordinator reports to the Manager, Proposals & Pursuits, and is a core member of the Proposal Group within the Business Development team. The Proposal Coordinator also works closely with VEIC staff from across the organization, particularly the Marketing and Communications team, Consulting team, and the Business Area Leads that guide VEIC’s business strategies and priorities.

Responsibilities

  • Coordinate RFX-related requests, ensuring accurate tracking of requirements, deadlines and milestones. 
  • Coordinates day-to-day proposal code access. 
  • Monitors solicitation intake channels, including BD service desk and email. 
  • Coordinates review, production, delivery, and distribution of necessary documents coordinating with other departments and divisions when necessary. 
  • Coordinates budget development and reflection of proposal scope of work. 
  • Coordinates B&P code access. 
  • Acts as liaison between business development and legal division. 
  • Assists with updating and maintaining libraries of proposal materials. 
  • Maintains online opportunity tracker.  
  • Ensures adherence to instructions and deadlines related to these opportunities. 
  • Searches existing and historical proposal content to cull relevant technical, management, and past performance information, as needed. 
  • Works with graphic design team to ensure graphics enhance proposal text. 
  • Copy-edits documents for style, consistency, grammar, clarity, and syntax. 
  • Coordinates production, delivery, and distribution of completed documents. 
  • Assists in developing sales presentations based on proposal content and requirements.  
  • Participates in “lessons learned” meetings and other debriefings after proposal submission. 
  • Maintains proposal tracking and reporting records.  
  • Supports VEIC activities as necessary to accomplish organizational goals and objectives. 
  • Other duties as assigned. 

Qualifications

  • Strong personal commitment to the mission, vision, goals and values of VEIC. 
  • Bachelor’s degree in a field that demonstrates strong writing skills and critical thinking (e.g., Business, Marketing, Communications, English). 
  • 2+ years of business experience 
  • Knowledge of decarbonization, clean energy, energy efficiency or other relevant industry experience (preferred).  
  • Deadline-oriented. 
  • Ability to handle multiple tasks and competing priorities. 
  • Strong interpersonal skills and excellent written and oral communication skills. 
  • Demonstrated ability to work independently to meet project objectives.
